At Shot Race Gear USA, we are committed to providing exceptional customer service. As our services include the collection, use and disclosure of certain personal information of our customers, the protection of this information is one of our highest priorities.

While we have always respected the confidentiality and protected the personal information of our customers, we have reinforced our commitment to protect personal information as a result of the Personal Information Protection and Electronic Documents Act (PIPEDA). PIPEDA, which came into force on January 1, 2004, sets out the ground rules for how businesses and not-for-profit organizations can collect, use and disclose personal information.

We will inform our customers why and how we collect, use and disclose personal information, and we will obtain their consent where required and we will manage personal information in a manner that a reasonable person would consider appropriate under the circumstances.

The Personal Information Protection and Electronic Documents Act, in accordance with PIPEDA, outlines the principles and practices we will follow to protect the personal information of our customers. Our commitment to confidentiality is to ensure the accuracy, confidentiality and security of our customers' personal information and allow our customers to request access and correction of their personal information.

SCOPE OF THIS POLICY

This Personal Information Protection and Electronic Documents Act applies to Shot Race Gear USA and its subsidiaries. This policy also applies to any service providers who collect, use or disclose information on behalf of Shot Race Gear USA.

DEFINITIONS

Personal Information - means information about an identifiable individual. Personal information does not include contact information (described below).
Contact Information - means information that would allow the individual to be contacted at their workplace and consists of name, title and position, work telephone number, company address, company email or fax number . Contact information is not covered by this policy or PIPEDA.
Corporate Privacy Officer - means the designated individual responsible for ensuring that Shot Race Gear USA complies with this policy as well as PIPEDA.

POLICY 1 – COLLECTION OF PERSONAL INFORMATION

1.1 Unless the purpose of collecting the personal information is obvious and the customer provides their personal information voluntarily, we will communicate to the purpose for which the personal information is collected, either in writing or orally, before or at time of collection.
1.2 We will only collect information necessary to achieve the following purposes:
• To verify identity;
• To verify creditworthiness;
• To identify customer preferences;
• To understand the needs (financial, banking, insurance) of our customers;
• To open and manage an account;
• To deliver the requested services and products;
• To secure a travel or hotel reservation;
• To contact our clients for fundraising campaigns;
• To ensure a high level of service to our customers;
• To meet regulatory requirements;

POLICY 3 – USE OF DISCLOSURE OF PERSONAL INFORMATION

3.1 We will use or disclose customer personal information only to fulfill the purposes identified at the time of collection [or for a purpose related to those purposes].
• To conduct customer surveys to improve the delivery of our services;
• To contact our customers directly about products and services that may interest them;
3.2 We will not use or disclose customer personal information for any additional purpose [unless we have consent to do so].
3.3 We will not sell any customer lists or personal information to other parties [unless we have consent to do so.]

POLICY 4 – RETENTION OF PERSONAL INFORMATION

4.1 If we use customers' personal information to make a decision that directly affects the customer we will retain that personal information for at least one year so that the customer has a reasonable opportunity to access it.
4.2 Subject to the Policy, we will retain Customer Personal Information for as long as necessary to fulfill the identified purposes or for a legal or business purpose.

POLICY 5 – ENSURE ACCURACY OF PERSONAL INFORMATION

5.1 We will make reasonable efforts to ensure that the customer's personal information is accurate and complete where it can be used to make a decision on behalf of the customer or disclosed to another organization.
5.2 Customers may request correction of their personal information to ensure its accuracy and completeness. The request for correction of personal information must be made in writing and must provide sufficient detail to identify the personal information and the requested correction.
5.3 If personal information is shown to be inaccurate or incomplete, we will correct that information and send the corrected information to the organizations to which we have disclosed it in the previous year. If the correction is not made, we will indicate in the client's file that a correction request has been made.

POLICY 6 – OBTAINING PERSONAL INFORMATION

6.1 We are committed to ensuring the security of our customers' personal information in order to protect it against unauthorized access, collection, disclosure, copying, modification, deletion or similar risks.
6.2 We will use appropriate security measures when destroying our customers' personal information, such as shredding documents or deleting electronically stored information.
6.3 We will continue to review and update our controls and security policies as technology continues to advance to ensure the continued security of personal information.

POLICY 7 – PROVIDING ACCESS TO PERSONAL INFORMATION TO CUSTOMERS

7.1 Customers have the right to access their personal information subject to limited exceptions.
7.2 The request for access to personal information must be made in writing and must provide sufficient details to identify the information sought.
7.3 Upon request, we will inform our customers of how we use their personal information and to whom it has been disclosed if applicable.
7.4 We will ensure that the personal information requested is accessible within 30 working days. If we need more time to respond to this request, we will notify the customer in writing.
7.5 A nominal fee may be charged for providing access to personal information. We will notify the customer if there is a charge and seek further instructions from the customer as to whether we should continue to process the request.
7.6 If a request is refused in part or in whole we will notify the client in writing giving the reasons for refusal and the remedy available to the client.

POLICY 8 – QUESTIONS AND COMPLAINTS: THE ROLE OF THE CORPORATE PRIVACY OFFICER

8.1 The Corporate Privacy Officer is responsible for ensuring Shot Race Gear USA's compliance with this policy as well as with PIPEDA.
8.2 Customers should direct all complaints, concerns, or questions regarding Shot Race Gear USA in writing to the Company's Privacy Officer.
